The Position

The Administrative Assistance provides analytical and specialized administrative support to relieve executive, administrative, and line and staff managers of complex details and advanced administrative duties.

Executes special or continuous research and data analysis tasks.  Analyses problems, determines approach, compiles and analyses data, and prepares reports/recommendations.

Coordinates activities between departments and outside parties. Contacts company personnel at all organizational levels to gather information and prepare reports.

Work is generally of a critical or confidential nature. Assignments may be found in various functional areas..

- Ability to listen and communicate to the team, expertise in organizing complex agendas and multiple topics, having internal and external customers as the main priority, and acting as a bridge between functions to maximize collaboration.

- Coordinating logistics of external and internal activities, by the company’s policies and procedures and business needs.

- Is proactive in looking for solutions and in suggesting improvements in processes towards enhanced efficiency. 

- Use predetermined corporate systems (RoME, CAMs, Concur, Contract Management, SAP). 

- Ability to handle financial information and pivot tables.

- Ability to coordinate and communicate different projects, meetings, and events.

Individual Accountabilities:

- Provides administrative support to the Country Ecosystem Team. 

- Supports local tendering processes where applicable, in coordination with the Regional Tender Manager. 

- Vendor/distributor management to ensure required services are provided (HCP, HCO, and other service providers)

- Provides support with the management of service providers- registration in the system, request for quotation, creation of purchase order, requesting invoices, and following up until payment. Liaises with the Purchasing Department as needed.

- Manage and safeguard the relevant documentation of the area, ecosystem, and/or squad.

- Attend the respective audits of each process (events, GSD)

- Manages the administrative budget of the area. Liaises with Finance as needed for reporting and performance regarding budget execution. 

- Coordinate all internal and external events of the ecosystem, squad or department (travel, logistics, budget, contracts, continuing medical education support)

- Manage requests for donations and sponsorships (registration, payments, documentation, Compliance)

- Manage invoices for payment to suppliers and internally and ensure control support 

- Supports Ecosystem Leaders with special requirements.

- First point of contact for the different areas (P&C, IT, T&E, Finance)

Requirements:

  • Planning, Organization, and Prioritization skills. 

  • Digital platform usage experience

  • Analytical skills and data management. 

  • University degree in Administration or related career.  

  • Bilingual Spanish-English desirable

  • 3 years experience in similar areas
