Position Summary

With general guidance, lead and manage the day-to-day operations related to transfer articulation, student evaluation including domestic, international and military students as well as the graduation departments for National University (NU). Administer functions related to Military services including production of Service members Opportunity College (SOC) Agreements, Vocational Rehabilitation, Military courses and occupation articulations and serve as point of contact for external military agencies. Facilitate Articulations for the University, both domestic and foreign including the system affiliate pathways to and from NU. Represent the Office of the Registrar to parties involved in articulation, external and internal including California Inter-Segmental Articulation Council meetings. Interpret and administer academic policies and resolves student concern, feedback and issues. Oversee the development and implementation of applications designed to improve workflow and access to online transfer information. Ensure student information systems data integrity by reviewing articulation and evaluation statistics.

Essential Functions:

  • Provides day-to-day leadership to staff including but not limited to recruiting, selecting, orienting, mentoring, disciplining, training employees, performance feedback, assignments as well as developing personal growth opportunities.
  • Manages graduation processes and systems including developing, documenting and implementing policies, procedures, standards and checklists to ensure the integrity, security and confidentiality of records. Administers certification of eligibility for graduation.
  • Analyzes daily operation trends in order to establish department goals, priorities, organizing workflow and ensures short-and-long-term goals are met, including making recommendations to senior management to improve student services.
  • Collaborates with management in the preparation of University catalog, directs the planning and implementation of articulations for both domestic and international partners including NU System affiliates.
  • Establishes and sustains communication with academic and support services offices. Proposes, facilitates and implements new applications for improving customer service and procedures to improve operational success.
  • Expedites resolutions to students, advisors, faculty and staff with concerns, issues or complaints. Collaborates with Department leadership to organize and accelerate resolution of topic. Serves as a resource for students, faculty, staff regarding academic policies and procedures.
  • Interprets and applies personnel policies and procedures for the articulation, evaluation, graduation units, military student service and academic advising units of the Registrar's Office
  • Evaluates daily reports of articulation, evaluation, graduation, military student service and academic advising units as well as distribution and prioritization of workload. Manages and facilitates the foreign credential analysis for international and domestic students by team.
  • Collaborates with management on the Cal Grant Grade Point Average (GPA) submission for the University including online submission form and assuring students information accuracy.
  • Develops, manages and provides management with statistical reports on processes and identify trends to contribute to service improvement of applicants, students, faculty, staff and University Administration.
  • Sustains thorough knowledge and understanding of the Family Educational Rights and Privacy Act (FERPA) including explaining provisions of legislation to individuals, as appropriate.
  • Other duties as assigned.

Supervisory Responsibilities:  Hire, train, and develop up to 10 staff team members.

Requirements:

Education & Experience:

  • Bachelor's degree in Business Administration, Management, Social Science or related field, required; Master's degree, preferred; and, two (2) to three (3) years' experience in records evaluation within a higher education setting; to include:
    • Two (2) years' experience in building and managing a comparably size team; or, equivalent education and    experience.

  • Solid working knowledge with academic documents and institutional transfer policies, required. Excellent attention with details, follow-up and follow-through.
  • Ability to conduct work in accordance with the highest ethical standards and adhere to all State, Federal, University and accreditation rules and regulations.
  • Advanced use of computers and Microsoft Office Suite Applications such as Word, Excel, Power Point, Outlook and Enterprise Resources Planning (ERP) software applications used in student evaluation records like imaging processes, Optical Character Recognition and Electronic Document Management software such as OnBase.
  • Strong interpersonal skills and the ability to effectively communicate with a wide range of individual of constituencies in a diverse community.
  • Work independently and foster a cooperative spirit within a large and/or small team of diverse cultures, while working in a fast-paced environment with multiple deadlines and frequently changing priorities.

Candidate receiving offers will be offered a salary/pay rate commensurate with experience that vary based on a candidate's qualifications, skills, and competencies.  Absent exceptional circumstances, candidates will be offered a salary within this range for this position. The minimum salary will be offered based on the minimum exemption threshold based on state of residency. Compensation Range:

Annual Salary: $56,890.00 - $76,800.00
