We have an exciting opportunity to join our team at RAF Leeming on a 6 - 9 months temporary basis as a Office Manager. This role will support of BSL UK Programmes. This role is based in RAF Leeming and reports to the General Manager UK.
This role provides on-going support to both the leadership team and the wider organisation, ensuring timely administrative support for all day-to-day operations.
Key Accountabilities
- Coordinating calendars and arranging meetings for UK leadership team
- Comfortable working in a military facing environment and able to professionally communicate with UK and Qatari military personnel
- Facilitation of interviews and coordination of interviewers
- Attending career events
- Planning of appointments and events
- Responding to Management enquiries
- Coordination of all staff and leadership travel booking
- Time and attendance management
- Management of Conference and Meeting room schedules
- Provide agendas to all relevant stakeholders ahead of meetings
- Minute meetings and produce meeting reports
- Print service management
- Management of correspondence
- Management of staff PPE
- Visit co-ordination
- Coordination of management expenses process
- Meet and greet services.
Work Experience:
To be successful in this role you will need a minimum 2 year of experience in administration/executive secretary/office receptionist role, preferably where you have been reporting to/supporting the senior management.
Essential:
- Extensive Microsoft application experience and being an advanced user is a must with the ability to learn other software applications quickly.
- Excellent communication and interpersonal skills, both written & verbal, including the ability to communicate across cultures.
- Fluent in English
- Knowledge of meeting management techniques
- Must be flexible, extremely well organized and detail minded. Adept at follow-through, especially in the management of detail and juggling multiple priorities.
- Must be comfortable working and communicating with a diverse workforce that includes executives, mid-management personnel, vendors
- UK Driving License.
Qualifications
- Minimum of a recognised qualification to NVQ3/ONC level in a relevant Technical discipline.
- Good to strong quantitative and analytical skills/experience, with Lean management principles.
- Effective, credible communicator with good interpersonal skills.
- Requires product knowledge and a good understanding of the relationship with interfacing / contributory areas.
- Able to analyse and interpret data with a high level of attention to detail.
- Comprehensive understanding of current IT software packages used within the Fleet Planning and Maintenance Tasking & Verification disciplines.
- Understanding of Project Management techniques.
- Able to build good relationships with Customers, Part 145 Organisation(s) , OEMs, Suppliers and other key stakeholders’ personnel..
- IT Literate.
