Our Agency is currently looking for an experienced Property Secretary to work with our existing client. Job Title: Property Secretary Job Overview: As a Property Secretary, you will be responsible for overseeing the daily operations and management of assigned real estate properties. Your primary goal is to ensure the efficient and profitable functioning of the properties, maintain positive tenant relations, and uphold the property owner's interests. The candidate should have good command in both English and Spanish. Working hours: 5 hours/day; Monday to Friday (tentative) Key Responsibilities: Tenant Relations: Conduct property showings, tenant screenings, and lease negotiations. Address tenant inquiries, concerns, and requests promptly and professionally. Enforce lease agreements and property rules. Leasing: Develop and implement effective marketing strategies to attract and retain tenants. Negotiate and execute lease agreements in accordance with legal requirements. Conduct regular market surveys to stay competitive in rental pricing. Property Maintenance: Coordinate routine property inspections and address maintenance issues promptly. Oversee repairs and renovations, obtaining bids and managing contractors. Ensure the property complies with health and safety regulations. Financial Management: Collect and record rent payments in a timely manner. Develop and manage property budgets, including operating expenses and capital improvements. Provide regular financial reports to property owners. Legal and Regulatory Compliance: Stay abreast of local, state, and federal housing laws and regulations. Handle eviction processes in accordance with legal requirements. Maintain accurate and organized documentation related to legal matters. Marketing and Advertising: Utilize various advertising channels to promote available units. Develop and implement marketing plans to attract new tenants. Collaborate with marketing professionals to enhance property visibility. Security and Safety: Implement security measures and emergency response plans. Ensure the property adheres to safety standards and regulations. Record Keeping: Maintain organized and up-to-date records of leases, inspections, and maintenance activities. Use property management software to track and manage data efficiently. Communication and Reporting: Regularly update property owners on the status of their properties. Facilitate effective communication between tenants, property owners, and relevant stakeholders. Qualifications: Proven experience in property management or a related field. Experience with Rent Manager software. Must be proficient in speaking Spanish. Strong knowledge of local and state housing laws and regulations. Excellent communication and interpersonal skills. Proficient in property management software and Microsoft Office Suite. Ability to multitask, prioritize, and solve problems effectively. Attention to detail and strong organizational skills.
