Job Title: Administrative Officer
Department: Operations and Administration
Grade: 5
Reports to: Senior Administration Manager
Country/Location: India/Delhi

About CRS
Catholic Relief Services (CRS) is the official international humanitarian agency of the Catholic community in the United States. CRS works to save, protect, and transform lives in need in more than 100 countries, without regard to race, religion or nationality. CRS’ relief and development work is accomplished through programs of emergency response, HIV, health, agriculture, education, microfinance and peacebuilding.
CRS India program was established in 1946. The national office is in New Delhi, with programs operating in several states of India. CRS works with local partner organizations to support and empower vulnerable communities and households through implementation of development, relief and recovery programs. The primary program sectors in which CRS India works are emergency relief and recovery, health, agricultural livelihoods, and anti-trafficking.
Job Summary:
You will coordinate the provision of responsive, effective, and efficient operations services in support of the Catholic Relief Services’ (CRS) mission to serve the poor and vulnerable. You will help ensure stewardship of resources and a high-quality service approach are integrated into administrative systems, policies, and procedures. You will support staff and partner organizations meet various projects objectives using program quality principles and standards. The position is based in the national office, Delhi.
Roles and Key Responsibilities:
Compliance
• Ensure administrative systems, processes, and policies are in line with agency standards.
• Ensure all agreements adhere to Office of General Counsel Library and donor requirements.
• Support and coordinate country program efforts on gateway updation.
Administration
• Prepare and coordinate approval of Agreements, Contracts, and Purchase Orders for the country program.
• Support in front office management and maintaining the overall upkeep of the office.
• Engage with relevant external stakeholders on assigned administrative matters and help ensure required authorizations and documents are up-to-date.
• Maintain the E-repository for Operations and Programming documents plus the updated tracking sheets for Agreements, Contracts, Rate Contracts and Purchase Orders.
Operations Support
• Segregate and share the consultant and vendor quotations received in Supply Chain email ID.
• Conduct reference checks and due diligence visits
• Support in booking air / train tickets travel, hotel and taxis for staff, visitors and consultants and maintain travel records.
• Support in organizing public events by coordinating related tasks with staff, partners and other stakeholders
Basic Qualifications
• High School diploma required. Bachelor's Degree in Business Administration or relevant field preferred.
• Minimum of 2 years work experience in administrative support functions, with increasing responsibility. Experience with a local or international NGO a plus.
Required Languages – Good written and spoken English.
Travel – Must be willing and able to travel up to 10%.

Preferred Qualifications
• Additional education may substitute for some experience
• Experience and proficient skills in MS Office package (Excel, Word, PowerPoint, Visio) and information management systems
• Experience with Salesforce software
• Experience facilitating virtual trainings, workshops, and meetings to a wide audience

External - Partner staff, vendors, consultants.
