We are seeking not just one but five talented new colleagues to support different units in our organization, i.e., Communications, Marketing, Engagement and Technology Unit. So, if you fit at least 70% of the description, we encourage you to apply!

 

The Scope

You will play a crucial role in ensuring the efficient functioning of the unit by managing external relationships, handling financial processes, coordinating events, and providing general administrative support.

 

Main Roles and Responsibilities

  • Function as a central point of contact for external correspondence and general enquiries relating to the work of the Unit. 
  • Support and coordinate administrative processes, such as:
    • invoice processing including receipt and verification, execution of approval workflows and monitor payment processing.
    • contract management, covering documentation preparation, alignment with legal department for contract compliance, monitor and alert renewals and terminations.
    • preparation, coordination and execution of unit and project meetings, trainings, and conferences (logistics, meeting set up, taking minutes etc.).
    • Management of travel arrangements, including for example, travel planning, accommodation, visa applications etc.
    • Maintaining unit information resources and databases (suppliers, contracts, unit calendars, unit distribution lists, unit media lists, etc.).
    • Arranging for translation of written materials, maintain a database of translators and translation glossaries (translation database) and liaise with consultants, such as translators and writers, and to keep track of multiple assignments.
  • Depending on which unit you will work with, you may be involved unit specific content-related work on e.g., Communications (support with Social Media and Stories), Technology, Engagement, Marketing.
  • Assist with the maintenance and curation of unit content placed on FSC Intranet and the FSC Open Knowledge Repository (Specific to Technology unit).

 

Qualification, Experience and Skills

  • Education and Training:
    • University degree or equivalent vocational training or experience in a relevant field, for example, office administration, communications or media relations, or technology fields as computer science.
  • Working Experience, Style and Skills:
    • At least 2 years’ relevant professional experience. 
    • Eagerness to contribute and learn and openness to feedback.
    • Strong organizational, administrative and time management skills, ability to multitask.
    • A keen sense for diligence and accuracy. 
    • Solutions and service-oriented attitude to work.
  • ComputerSkills: Good skills in the use of/experience with:
    • Strong skills in standard software packages (MS Office).
    • Database management platforms, Flows, SharePoint, and Office Suite are a plus.
  • Language and Communication Skills:
    • Fluency in English (spoken and written)
    • Working knowledge of German/French/Spanish (spoken and written) is a plus.
    • Ability to establish and maintain positive interpersonal relations.
  • Others:
    • Demonstrated cultural awareness and sensitivity to the diversity of values, views, and approaches to issues relevant to the FSC program by stakeholders around the world.

Terms and Conditions

  • Location: Bonn, Germany (home office option 2 days per week with optional 2-weeks remote work from abroad)
  • Working Hours: Full time - 40 hours per week. (part-time with a minimum of 70% is possible)
  • Duration of Employment: 2-year contract with an interest to extend.
  • Starting Date: As soon as possible.
