Org. Setting and Reporting
Based on location, the incumbent is responsible to the immediate supervisor, as applicable.
Responsibilities
• Assists in the preparation of the budget; records and monitors expenditure against allotted fund as required;• Orders supplies for Departmental/Divisional use and supervises distribution;• Maintains inventory records of equipment/furniture and other supplies and prepares survey reports as required;• Performs typing and MS Office duties using the appropriate computer software;• Receives and sorts incoming mail; ensures that supervisor is aware of items of special interest; locates and attaches referenced background material and distributes to staff members as appropriate; makes photocopies required; classifies and files documents including confidential material and dispatches mail;• Carries out routine actions requiring the gathering and compiling of files and other information; contacts other organizations, departments, and units to obtain or co-ordinate material or information as required;• Maintains and updates a computerized system (consolidated lists of documents on shared drive) of all incoming and outgoing documents and information and its follow-up status with internal staff;• Monitors the schedule/s of supervisor/s and arranges for meetings and appointments; screens visitors and telephone calls; brings forward matters to the attention of supervisor/s, including deadlines and pending matters and handles routine correspondences, as required;• Arranges for and may attend meetings as requested; may prepare summaries of such meetings if instructed by his/her supervisor and follows up accordingly;• Performs other duties as may be assigned by the supervisor.

Education
• Successful completion of full secondary education;• Successful completion of two-year post-secondary course in business and office practice or related discipline
Job - Specific Qualification
• MS Office applications including MS Word, MS Excel, MS Access, is required.
Work Experience
• Four years’ experience in clerical and administrative work is required.• Applications from holders of university degree in business administration with two years’ experience will be accepted.
Languages

Contract Status:Fixed-Term Appointment for 3 years including 1 year probation period, with the possibility of further extension, subject to the availability of funds, satisfactory performance and continuing need.Benefits:Grade 9, Monthly Salary JD 634.600 fils.
